Governance and Reporting

The CaribData governance framework outlines the principles, structures, and operational processes that guide project execution. Our governance structure supports collaborative, transparent, and coordinated project management.

Project Steering Committee (PSC)

The Project Steering Committee includes one National Focal Point from the NSOs of each beneficiary country—Belize, Guyana, Jamaica, and Trinidad & Tobago. These focal points coordinate national-level inputs and help build consensus with stakeholders. IDB representatives serve in an advisory capacity. The University of the West Indies (UWI), as Executing Agency, serves as Secretary to the PSC. The PSC meets quarterly to guide project strategy and implementation.

We have held the following steering committee meetings:

Internal CaribData Meetings

CaribData team meetings provide the main mechanism for coordination, decision-making, and team support. These meetings allow for timely updates, identification of emerging issues, allocation of tasks, and ongoing knowledge exchange. In 2024, with the full CaribData team in place, meetings have been weekly. Additional ad hoc meetings are held as needed to respond to specific issues or deadlines.

Project Management

Day-to-day project activities are coordinated by the Project Manager, who oversees schedules, risk mitigation, and delivery assurance. The Project Manager acts as the central liaison between technical teams, stakeholders, and the IDB, ensuring timely and high-quality delivery of all activities.

Research Assistant

The Research Assistant supports strategic coordination and on-the-ground delivery. Responsibilities include supporting training development, drafting documents, and maintaining communication with partners. Their expertise in mixed-methods research strengthens the project’s responsiveness to regional needs and helps document impact.

IDB Reporting (6-monthly)

Semi-Annual Progress Reports are submitted to the IDB within 60 days of the end of each university semester. A final report is submitted within six months of the project’s completion, assessing outputs, progress toward outcomes, and overall performance. The final evaluation identifies lessons learned, highlights success factors, and suggests strategies for improving coordination around data creation, management, and sharing.
